Salesforce for Schools and Education Providers in NZ: Where to Start

For an NZ school, PTE, polytechnic or university, Salesforce runs the relationship layer: enquiry to enrolment, student support and pastoral care case management, and alumni and fundraising. It does not replace your student management system. Small schools usually need Sales Cloud or Service Cloud, not Education Cloud; larger providers should start with one module and one first-term project.

What does Salesforce actually do for an education provider?

The academic record (timetable, attendance, results) belongs in a student management system. The relationship record (who enquired, which agent referred them, what the wellbeing team did, which alumni gave last year) usually lives in email and spreadsheets, and that is what Salesforce is built for.

Salesforce sells this as Education Cloud, although the name is in flux. Its Trailhead module now says "Education Cloud is now called Agentforce Education. You may see references to Education Cloud in our application and documentation" (Trailhead, as at September 2026). The pricing pages still say Education Cloud, so this post does too.

Salesforce's product FAQ states: "Education Cloud does not run on the Education Data Architecture (EDA). Instead, it has its own Education Data foundation that is built within the core Salesforce platform" (source). The Trailhead EDA module adds that "As of March 2023, new or migrated customers use Agentforce Education integrated platform solutions instead of managed packages." If a proposal for a new org is built around EDA, ask why.

The current modules are Recruitment and Admissions, Academic Operations, Student Success, Student Financials, and Advancement and Alumni Relations (product page, as at September 2026). Underneath sits the same platform as Sales Cloud and Service Cloud.

Which starting point suits which provider?

Education Cloud is designed for institutions that run admissions, student success and advancement as separate teams. Most NZ schools do not.

A school with a few hundred students and one office team can get most of what it needs from Service Cloud or Sales Cloud, and because Education Cloud is built within the core Salesforce platform, moving up later usually does not mean starting again.

What does Education Cloud cost?

Salesforce publishes Education Cloud prices in USD and AUD, not NZD. All figures are per user per month, billed annually, on an annual contract.

The cheaper columns are nonprofit pricing. The page states: "These cards reflect nonprofit pricing. For-profit institutions, please view this pricing guide and connect with your Account Executive." Many NZ PTEs are companies, and none of the pages define which NZ provider types count as for-profit, so confirm your classification with Salesforce in writing. Both Agentforce 1 editions include Unlimited; buy them only for seats that will use the AI agents.

Implementation is separate. SAASKOOL publishes no fixed education package because a five-person PTE and a polytechnic are not the same project; implementation is quoted per institution, and hourly and fractional rates (from NZ$99/hr + GST, as at September 2026) are on the pricing page. Do NZ schools get free Salesforce licences?

Some will. Salesforce's nonprofit pricing page (as at September 2026) says "any eligible nonprofit receives 10 Salesforce Nonprofit Cloud or Sales/Service Cloud licenses, at no cost" (source), and the Power of Us Program is open to education.

The eligibility guidelines (as at September 2026) require an organisation to be "recognized as a charitable, nonprofit, educational, or social change organization in the country where you are located", and add: "This includes public or private nonprofit primary, secondary, and higher education organizations and institutions." Educational institutions must also "provide a signed ethics certification confirming receipt of the Power of Us Program donation is permissible under your applicable ethics or procurement provisions", and the help article allows "one donation per school district or per 501(c)3 institution" (US wording).

The NZ documentation line is generic ("Registration with NZ Charities Commissioner, Articles and Memorandum of Association"), whether a state school or a university satisfies it is not spelled out, and "Final determination of eligibility will be made at our sole discretion." The donation is Agentforce Nonprofit (formerly Nonprofit Cloud) or Sales/Service Cloud licences; no page we checked lists Education Cloud as a donated product.

Why does the NZ context push you towards a system of record?

Scale. At 1 July 2025 New Zealand had 2,536 schools and 856,412 students (Education Counts schools and rolls, last updated October 2025). Most will never need Education Cloud; the case for a CRM sits at the edges.

International recruitment. Education New Zealand reported on 13 May 2026 that "92,580 international students enrolled with New Zealand education providers in 2025", "an increase of 11 percent from the same period in 2024", with universities up 14 percent to 38,025 and schools up 10 percent to 20,155 (ENZ). Each of those enrolments brings an agent, an offer, insurance, a visa and a duty of care.

The Code of Practice. The Education (Pastoral Care of Tertiary and International Learners) Code of Practice 2021 came into force on 1 January 2022, and "An education provider must be an approved signatory to the Code before enrolling international students." Its outcomes include "A learner wellbeing and safety system", and it goes on to cover "Offer, enrolment, contracts, insurance and visa" and "Managing and monitoring education agents" (Code PDF). A spreadsheet can hold those; it cannot show an auditor who did what, and when.

The Privacy Act. The Privacy Commissioner's education guidance is blunt: "The Privacy Act applies to all education providers and their staff" (OPC), and the Code "does not override the responsibilities of education and accommodation providers under the Privacy Act 2020". Wellbeing notes are among the most sensitive data you hold, and a CRM with field-level security and restricted sharing is a more defensible home for them than a shared drive.

What does Salesforce not replace?

Your student management system. In NZ schools that is usually KAMAR ("Designed for New Zealand Schools by New Zealand Teachers"), Edge from Edge Learning Solutions, or Hero, and it stays the source of truth for timetables, attendance and NCEA results. Salesforce's own FAQ describes a student information system on Education Cloud as a journey it is "embarking on" (source); do not plan around it.

The SMS owns the academic record, Salesforce owns the relationship, enquiry, wellbeing and alumni record, and they exchange only what is worth exchanging. A nightly roster feed into Salesforce so cases attach to current students, plus an enrolment confirmation pushed back, is usually enough for a first year. Our integration service covers the options.

Where should you start? Three first projects

Each fits in a school term and has one owner. Pick one.

1. Enquiry-to-enrolment pipeline

Prerequisites: an agreed list of enquiry sources, four or five named stages, and one accountable owner.

First-term scope: a web-to-lead form, lead records with source and programme of interest, conversion to contact and application, a task for every stalled enquiry, and a weekly pipeline report. PTEs add agent accounts so every referral is attributed. Sales Cloud covers this.

2. Pastoral care and Code of Practice case management

Prerequisites: a written wellbeing policy with an escalation path, a decision on who may see what, and a roster feed from the SMS.

First-term scope: Service Cloud cases with record types for wellbeing, complaint, critical incident and international learner support; restricted sharing so only the pastoral team sees detail; an agent register with review dates; and a dashboard mapped to the Code outcomes. Keep clinical detail out unless your privacy review says otherwise.

3. Alumni and donor programme

Prerequisites: a deduplicated alumni or donor list, a receipting rule signed off by finance, and clarity on which entity (school, foundation, trust) is the legal fundraiser and Power of Us applicant.

First-term scope: contacts and households, campaign records for the annual appeal, donation tracking with automated receipts, and a lapsed-donor report. It is the same build as a small charity; see the nonprofit guide.

Does Salesforce replace our student management system? No. KAMAR, Edge, Hero or your tertiary SMS stays the source of truth for timetables, attendance and NCEA results. Salesforce holds the relationship, enquiry, wellbeing and alumni layers and integrates where a data flow is worth automating.

Do NZ schools get free Salesforce licences? Some can. Through the Power of Us Program, eligible nonprofits receive 10 Nonprofit Cloud or Sales/Service Cloud licences at no cost (as at September 2026), and the guidelines include public or private nonprofit primary, secondary and higher education institutions. A signed ethics certification is required, eligibility is at Salesforce's discretion, and Education Cloud itself is not listed as a donated product.

What does Education Cloud cost? On Salesforce's education pricing pages (as at September 2026), Education Cloud Enterprise Edition is US$87 or AU$121 per user per month, Unlimited is US$145 or AU$203, and the Agentforce 1 for Sales or Service editions are US$375 or AU$525, billed annually, at nonprofit pricing. The commercial guide for for-profit institutions lists US$350, US$525 and US$750. Salesforce publishes no NZD prices; SAASKOOL quotes implementation per institution.

Do we need Education Cloud or is Sales Cloud enough? For most NZ schools and single-campus PTEs, Sales Cloud for enquiries plus Service Cloud for pastoral care cases covers the first few years at a lower licence cost. Education Cloud earns its place when you need structured applications across many programmes, student success plans at scale, student financials or major gift fundraising. Start small and move up when a specific module solves a specific problem.

Can Salesforce help with the Code of Practice for international students? Yes, as the system that records what you did. The Code of Practice 2021 covers a learner wellbeing and safety system, managing and monitoring education agents, and offers, enrolment, contracts, insurance and visas. Service Cloud cases, an agent register and restricted sharing give you a dated, auditable trail for each; the Code and the Privacy Act 2020 still set the obligations.
